Attendance Definitions Field Descriptions
Description
(required field)
Description of the attendance event. For example, "Absent".
Unique Code
Each of your attendance events must have their own unique code. The code can be one or two characters long. You can use any type of character in the unique code field.
Default
(Pick One)
One and only one of your attendance events must have its "Default" column checked. The attendance event that has its default column checked is the one that is selected by default when you use the
Attendance Screen
to view a day that has not been recorded.
Send Email
If you check the Send Email column for an attendance event, it indicates that you want automatic email notifications to be sent for students that have the event. For example, teachers typically have an "Absent" event with the Send Email column checked. When you click the "Send Email Notices" button in the
Attendance Screen
every student that was absent has an email notice sent to them and their parents.
General Description
The Attendance Definitions screen is used to define the attendance events you track. When you first create your Mygradebook account, you are given a default set of attendance events (Present, Absent, Excused, and Tardy). You can modify or delete the original set of attendance events you were given. However, you must always have at least one event that has a check in the "Default" column.
Deleting Attendance Events
To delete attendance events, click on the check box to the left of the description field and then click the "Delete" button.
You cannot delete attendance events that have existing data associated with them. For example, if you have recorded attendance for students that were "Tardy". You cannot delete the "Tardy" event. However, you can change the description and even the code of the "Tardy" event.
You cannot directly delete your default attendance event. If you really want to delete the default attendance event, use these steps:
- Uncheck the "Default" column for the attendance event.
- Check the "Default" column for a different event.
- Click the save button.
- Click the check box to the left of the attendance event to delete.
- Click the delete button.
