Automated Grade Downloading
Before you can download the grades, teachers in your group must click on their class tab and use their Finalize Grades screen to submit finalized grades. In addition, your group or your Master Group must use the main integration page to specify an IP Address that will be used when downloading files. Grades are not included for sections that have been archived via the Toolkit > Year End > Archive Section Codes screen. In order to download grades for archived sections, the sections must be unarchived.

**Note** Do not use a different value for the RequestTimeout parameter. If your post is successful, MyGradeBook will respond to your post with text in a tab or csv format based on the option you specified when you posted.

Form fields to use when posting to group_marks_download.cfm are described below.
GROUP_ID Required. ID of group the file is for.
PWORD Only supply this if NOT posting for a sub group. Should be password for the group specified by GROUP_ID.
MASTER_GROUP_ID Should only be present if posting for a sub group.
MASTER_GROUP_PASSWORD Should only be present if posting for a sub group.
EMAIL Required. This is not necessarily the group manager's email address. This email address is sent information when a problem is encountered while trying to accept the silent post.

For security reasons, if the authentication information is incorrect, this parameter is ignored, and only the group manager (or master group manager, if given) is emailed.
DESCRIPTION Required. This field allows the caller to better understand the feedback when problems occur. This value is used in response emails and should contain descriptive text for the marks you are downloading. A typical value might be "Grading Period 1"
EXPORT_FORMAT Optional. Default is ".txt". If supplied, this field should contain either ".csv" (comma separate values) or ".txt" (tab separated values).
EXPORT_FLAG Optional. Default is "MP". This field lets you enter a text value that will be put into the first column of each row. Some districts put a value in this field to help their system determine what type of information the file contains. Maximum length is 20 characters.
SCHOOL_YEAR Required. Should contain a four digit number indicating the school year.
GRADING_PERIOD Required. Should contain a number. Valid range is 1 - 30.
MARKS_START_DATE Required. Use this field to indicate the first day of the grading period. This date is used along with the end date to determine which official comments will be exported. The format of the date you post should be based on the date format that is used by the country you are in. The My Account screen lets you indicate which country you are in.
MARKS_END_DATE Required. Use this field to indicate the last day of the grading period. This date is used along with the start date to determine which official comments will be exported. The format of the date you post should be based on the date format that is used by the country you are in. The My Account screen lets you indicate which country you are in.
ALL Optional. By default, only finalized marks records that have never been downloaded are returned in response to a post. However, if this field is present and contains a "Y", all finalized marks in the grading period are returned.
INCLUDE_STUDENTS Optional. If this field is not supplied, the setting defined by the group manager is used. Valid values are "All" and "Active". The default setting for new groups is "All". This field lets you include either all students or only those who were enrolled at the end of the specified grading period. Use "All" to include all students who have been enrolled in the class at any time, regardless of their enrollment and drop dates. Use "Active" to exclude students who dropped before the end of the grading period or enrolled after the end of the grading period.
CUR_PER_MARK_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the grade the student received in the grading period. The valid values for this field are described farther below in the section labeled "Valid values for "XXXX_ALPHA_OR_DECIMAL fields"
FINAL_AVG_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the overall grade the student has received in the class. The overall grade in the class is always tracked and is not related to a particular grading period. The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields"
CUR_PER_EXAM_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the "Marking Period Exam" assignment. The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields"
SEM_EXAM_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the "Midterm Exam" assignment. The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields".
LOCAL_EXAM_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the "Final Exam" assignment. The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields".
REGENT_EXAM_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the assignment labeled "Jan Regents Exam" or "Jun Regents Exam". The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields".
RCT_EXAM_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the "RCT Exam" assignment. The valid values for this field are described farther below in the section labeled "Valid values for XXXXX_ALPHA_OR_DECIMAL fields".
PROF_ALPHA_OR_DECIMAL Optional. If this field is not supplied, the value defined by the group manager is used. The default is "2" (percentage with 2 decimal places). Use this field to indicate what type of value you want exported for the score the student received in the "Prof Exam" assignment. The valid values for this field are described below.

VALID VALUES FOR XXXXX_ALPHA_OR_DECIMAL FIELDS
  • "A" - Alpha (A, B, C+...)
  • "0" - Percentage as a whole number
  • "1" - Percentage with one decimal place
  • "2" - Percentage with two decimal places
  • "3" - Percentage with one decimal places
  • "4" - Percentage with one decimal places

Response Format
If your post was invalid, the system will respond with "500 - " followed by an error message. Click here for a description of the response that you receive when you successfully post to group_marks_download.cfm. The format of the marks file you receive is the same whether you use automated integration or you manually download the marks file.
