Import Master Student List

As of May 2015, the Master Student List functionality has been deprecated in favor of Integration. Please click on the Integration tab while logged in as a Group Manager for more information.




Having a Master Student List makes it easy for teachers in your group to quickly import students into their classes. When you have a Master Student List, your teachers have a very simple two step process to import their initial class lists. In addition, your teachers can easily import individual students from the Master Student List.

How teachers import their initial class lists
  1. Teachers use the Class Screen to assign the correct course number to their class.
  2. The teachers click on the Import Roster link which is displayed under the Students tab. When the teachers click the Import Roster link, all of their students are automatically imported into their class.

  1. The teachers click on the Import Student which is displayed under the Students tab.
  2. When the teachers click the Import Student they are shown a screen they can use to search for students in the Master Student List.
Single log in for students

MyGradeBook will recognize which classes in your group account a student is taking based upon the Student District ID value. If all teachers in your group assign passwords to students, then each student will be able to log into any one class and see a listing of all of their other classes as well.

Required Formats for the Master Student List files

Your file must comply with either the new format or the legacy format as described below:
  1. New Format Flexible column format with one Course Number per row.

    General Requirements:

    • Data fields ("columns") in each row of the file must be separated by commas.
    • After uploading the file and choosing the "IMPORT", "UPDATE", or "REPLACE" option, use the next screen to specify the content of each column of the file. When you are finished using MyGradeBook, if you use the Logoff link instead of just letting your session expire, your column specifications will be saved for the next time you upload a file.
    • Student District ID, Last Name, First Name, and Course Number columns are required. All other columns are optional.
    • If optional columns are included, values are not required in every row of the file. However, rows that do not include a value for an optional column must include a comma as a placeholder for the optional column. For example, if the first three columns are specified as First Name, Middle Name, and Last Name, the file may include the following:

      Jane,M,Doe,...
      John,,Doe,...
    • There should be no commas contained in the data itself. For example, a fathers name should not contain Smith, Joe because you can not have any commas in the data.
    • There should be no double quotes in the data but single quotes are allowed.

    Column requirements: Columns can be in any order as long as it is consistent and you can omit columns that are not required.

    • Student ID (REQUIRED). Up to 15 characters in length. This is the unique ID assigned to the student by your school or district. This field is displayed as "Student DID" in the MyGradeBook Student screens and in several reports.
    • Course Number (REQUIRED). Up to 15 characters in length. The Course Number is used to make sure teachers import only the students that belong to their class. Before teachers can import students from your Group Master List, they must use the Class screen to assign a valid Course Number.
    • Last Name (REQUIRED). Up to 20 characters in length.
    • First Name (REQUIRED). Up to 20 characters in length.
    • Middle Name Up to 20 characters in length.
    • Email Address Up to 50 characters in length.
    • Home Phone Up to 15 characters in length.
    • Fathers Name Up to 30 characters in length.
    • Fathers Phone Up to 15 characters in length.
    • Fathers Email Up to 50 characters in length.
    • Mothers Name Up to 30 characters in length.
    • Mothers Phone Up to 15 characters in length.
    • Mothers Email Up to 50 characters in length.
    • Enrollment Date Must use the format indicated the My Account screen which is based on the country you are in.
    • Drop Date Must use the format indicated the My Account screen which is based on the country you are in.
    • Password Up to 10 characters in length.

    File restrictions:

    • Maximum rows: 10,000. If you have more than 10,000 students/course numbers to import, please create separate files that contain 10,000 or fewer rows and import them separately.
    • Maximum file size: 700 kilobytes.
    • Maximum students: 50,000. If your group already has 50,000 or more students, you will only be allowed to choose the "REPLACE" option when you upload a new file.

  2. Legacy Format: Strict column format with up to ten Course Numbers per row.

    General Requirements:

    • Each row of the file you upload should have exactly 24 commas.
    • The Student ID, Last Name, First Name and Course Number 1 columns must have data.
    • Rows that do not include a value for an optional column must include a comma as a placeholder for the optional column. For example, the file may include the following:

      S100,Doe,Jane,M,MATH101,...
      S101,Doe,John,,ENG201,...
    • There should be no commas contained in the data itself. For example, a fathers name should not contain Smith, Joe because you can not have any commas in the data.
    • There should be no double quotes in the Data but single quotes are allowed.

    Column Requirements - each row of your file must include all of the following fields in the order shown and separated by commas:

    • Student District ID (REQUIRED). Up to 15 characters in length. This is the unique ID assigned to the student by your school or district. This field is displayed as "Student District ID" in the MyGradeBook Student screens and in several reports.
    • Last Name (REQUIRED). Up to 20 characters in length.

    • Course Number 5 Up to 15 characters in length.
    • Course Number 6 Up to 15 characters in length.
    • Course Number 7 Up to 15 characters in length.
    • Course Number 8 Up to 15 characters in length.
    • Course Number 9 Up to 15 characters in length.
    • Course Number 10 Up to 15 characters in length.
    • Student Email Address Up to 50 characters in length.
    • Home Phone Up to 15 characters in length.
    • Fathers Name
    • Fathers Work Phone Up to 15 characters in length.
    • Fathers Email Address Up to 50 characters in length.
    • Mothers Name Up to 30 characters in length.
    • Mothers Work Phone Up to 15 characters in length.
    • Mothers Email Address Up to 50 characters in length.
